Why QuickBooks Online is my chosen platform

While working with my last Public Accounting Gig, QuickBooks Online was the preferred platform for the firm. One of my primary tasks was acquiring clients through the QuickBooks Desktop to QuickBooks Online Migration. After successfully documenting and providing a roadmap for the process, my team was able to replicate and document for the firm.

What I liked most about QuickBooks Online was its accessibility.


I have been in many different accounting information systems throughout my career as an accountant. Oddly enough, I began and ended my W-2 employment with the software. Mostly due to the fact of its' ubiquitous acceptance from small businesses to scale their businesses through the cloud.


QuickBooks Online is a cloud-based accounting software, which means that you can access your financial information from anywhere, at any time, as long as you have an internet connection. This makes it easy for you to manage your finances and collaborate with your team, whether you're in the office or on-the-go.


QuickBooks Online is generally considered to be a user-friendly accounting software, especially for those who are new to accounting or bookkeeping. The user interface of QuickBooks Online is intuitive for most users and easy to navigate.


Setting up QuickBooks Online is straightforward, with a step-by-step process that guides you through the process of entering your company information, connecting your bank accounts, and setting up your chart of accounts. However, it is best to engage a CPA to connect and setup these accounts to build your automation rules to categorize transactions for financials.


QBO can scale your business. It offers different plans that can accommodate your business needs as you grow, with features such as payroll, inventory management, and advanced reporting. The different levels allows you to choose the capabilities you need to manage your day to day.


Most importantly, QuickBooks Online integrates with many third party apps and services, such as payment processors, CRMs, and e-commerce platforms. This integration makes it easy to streamline your business processes and save time. It also offers flexibility in choosing software that can supplement QBO where it is limited in its own offerings. For instance, larger businesses often use ADP as their payroll processor and book accruals based on each payroll cycle.


QBO offers affordable pricing plans, with no upfront costs or long-term commitments. This makes it accessible to small businesses with limited budgets. Even with the small month cost, QuickBooks Online takes data security seriously and provides industry-standard security measures to protect your financial information.


Although QuickBooks Online has many advantages, it also has its limitations. Since QuickBooks Online is a cloud-based software, internet connectivity is necessary to access your data. If your internet connection is slow or unreliable, this can slow down your accounting tasks and cause frustration.


QuickBooks Online is designed to be easy-to-use and accessible, which means that there may be some limitations on how much you can customize the software to your specific business needs. QuickBooks Online may not have all the features and functionality that some businesses require, such as advanced inventory management or job costing. As with any new software, there may be a learning curve when transitioning to QuickBooks Online, especially if you are not familiar with accounting principles.


While QuickBooks Online offers affordable pricing plans, it may be more expensive in the long run compared to desktop versions of QuickBooks, especially for businesses with many users or complex accounting needs.


If you are migrating from a different accounting software to QuickBooks Online, there may be some challenges in importing your existing data and ensuring that everything is set up correctly.


While it is not necessary to hire a CPA to set up QuickBooks Online, there are several reasons why you might want to consider doing so:

  • Ongoing support: A CPA can provide ongoing support and guidance as you use QuickBooks Online, helping you to troubleshoot any issues that arise and providing valuable insights into your business's financial health.
